What is custom CRM development?

Building a customer system around how your business works: your stages, fields, follow-ups and reports, in one place, instead of adapting to an off-the-shelf CRM.

How much does a custom CRM cost?

It depends on what it has to do. We scope it on a call and send a written quote before any work starts.

Do I own the CRM you build?

No. Custom software and integrations we build stay ours, and you use them as part of your service. You can turn off our access to your tools at any time, and if you leave, we delete your data from it.

Can it connect to the tools I already use?

Tools with open connections, such as Google Calendar, Outlook, Square, Jobber and Housecall Pro, yes. Tools that need the vendor's approval we check on the call before promising anything.

More questions (2)

Does it include Victoria?

It can. Victoria's calls, texts, quotes and summaries land in the CRM on their own when you use both.

Should I build a custom CRM or buy one?

If an off-the-shelf CRM fits your process, buy it; we'll say so. Build when your process doesn't fit, your tools don't talk, or you need one view nobody sells.

The details

In short

Custom CRM development means building the customer system around how your business already works, instead of bending your business to fit an off-the-shelf CRM. Cloud Conquer AI builds them for local service businesses: one place for every lead, customer, call, quote and job, with the steps your team actually follows.

It's built by the same person who sets up Victoria, our AI receptionist, so every call she answers or makes, every text and every quote lands in it on its own.

Custom work is scoped and quoted on a call, after we understand your business.

When a custom CRM makes sense

Most small businesses should start with an off-the-shelf CRM or the one built into their scheduling tool, and we'll say so if that's you. A custom CRM is worth it when:

  • Your process doesn't fit the boxes: the stages, fields or approvals your jobs need aren't there.
  • You're paying for several tools that don't talk, and someone retypes the same customer into each one.
  • You need a view nobody sells: one screen with the lead, the quote, the job, the invoice and every call.
  • Your team works in English and Spanish and the tool should too.

What we build into it

  • Every lead in one place, from your website forms, ads, Google Local Services and Angi or Thumbtack alerts.
  • Every call, quote and text saved with the customer, including Victoria's recordings and summaries.
  • Your pipeline: the stages your jobs really go through, from first call to paid.
  • Follow-ups that send themselves: reminders, quote follow-ups and review requests.
  • Connections to the tools you keep, such as Google Calendar, Outlook, Square, Jobber or Housecall Pro.
  • The reports you ask for, in plain numbers.

Connect your tools

Who owns it

Straight answer: custom software and integrations we build stay ours, and you use them as part of your service with us.

You can turn off our access to your tools from your own account at any time. If you leave, we delete your data from it.

What a custom CRM project looks like

Nathaniel Ross, our founder, scopes and builds it himself: in person in the Santa Barbara area, by phone or video anywhere else in the U.S.

  • A call about how a job moves through your business today, and where it gets stuck.
  • A written scope and a firm price before any work starts.
  • We build it in pieces you can try, starting with the part that saves the most time, and test every version before it goes live.
  • We move your existing customers in and connect your tools and Victoria.
  • We fix anything right away.

Custom CRM or our standard setup?

Every plan already logs each call in a CRM we set up for you, so no customer gets lost or ignored. A custom CRM goes further, shaped around your process.

If the standard setup covers what you need, we'll tell you, and the money stays in your pocket.
