Example callIn English and SpanishThursday, 7:40 pm. A business owner wants a quote on a work truck.
  1. Victoria:

Thanks for calling your agency, this is Victoria. How can I help? También hablo español.

  2. Caller:

Sí, en español. Tengo una compañía de jardinería y compré otra camioneta. Necesito seguro para empezar a usarla el lunes.

Yes, in Spanish. I have a landscaping company and I bought another truck. I need insurance to start using it on Monday.

  3. Victoria:

Con gusto. Le voy a hacer unas preguntas para que un agente con licencia le prepare la cotización. ¿Qué año y modelo es la camioneta, y quién la va a manejar?

Happy to help. I'll ask a few questions so a licensed agent can prepare your quote. What year and model is the truck, and who will drive it?

  4. Caller:

Es una Ford F-250 2022. La manejan dos de mis trabajadores. Ahora tengo seguro con otra compañía para la primera camioneta.

It's a 2022 Ford F-250. Two of my workers drive it. Right now I have insurance with another company for the first truck.

  5. Victoria:

Perfecto. Yo no puedo darle precios, pero un agente le llama con la cotización. ¿Le queda bien mañana a las 9:30?

Perfect. I can't give you prices, but an agent will call you with the quote. Does tomorrow at 9:30 work?

  6. Caller:

Questions people ask

Don't see yours? Ask Victoria during the assessment, or call (805) 970-2936.

What does an insurance agency answering service cost?

Your price is set by your calls (extra calls are billed per call), with Spanish and after-hours calls included, for just calls or for texts, email, chat and DMs too. The free 2-minute assessment works out your price from your calls. If you're not happy in the first 30 days, we refund your first monthly payment.

Will Victoria quote premiums or bind coverage?

No. She doesn't give prices, say what a policy covers, recommend coverage or bind anything. Those take a licensed agent, so she collects the details your agency asks for and books a call with one. You approve her script before she takes a single call.

How does she handle claims calls after hours?

However your agency decides. You can have her give the claims number for the client's carrier, from the list you give her, or put urgent calls through to an on-call agent. If someone is hurt, she gives no advice and reads the wording you write.

Can she call quote leads back?

Yes. Victoria makes calls as well as answering them. She calls back leads who gave written consent on your quote form, asks your quote questions and books a licensed agent. Calling a web lead with an AI voice is a sales call, so it needs their prior written consent under federal rules (the TCPA and the FCC's 2024 ruling on AI voices), usually a consent line on your quote form, and your counsel confirms the wording.

More questions (4)

Does she work with our agency management system?

Every call is logged in the CRM we set up for your agency, and bookings go on calendars like Google Calendar and Outlook. Whether she can connect to your agency management system we check on the setup call.

What about client privacy?

Insurance customers' personal information is protected by federal and state privacy law, including the Gramm-Leach-Bliley Act. By default she asks only for what your quote and service questions need, and records the call and a summary of what the caller told her. She doesn't ask for Social Security or bank account numbers unless your agency's questions do. Under Gramm-Leach-Bliley your agency also oversees its service providers, us included, so your own compliance counsel should review the setup and decide what your agency needs.

Does she speak Spanish?

Yes. Victoria speaks English and Spanish and switches within a call when the client does. When a caller speaks another language, she takes their name, number and the language, so your team can call back with an interpreter.

Who sets this up?

Nathaniel Ross, the founder, sets it up himself. He's based in Santa Barbara and meets in person in the Santa Barbara area, or by phone or video anywhere else in the U.S. Bring the lines you write, your quote questions for each, your carriers' claims numbers and your agents' calendars. You can call in and hear Victoria, in English and Spanish, before she answers a single client.

The details

In short

Insurance agency answering service for the calls your producers can't take: a family shopping home insurance after dinner, a driver who was just rear-ended and wants to know who to call, a buyer whose lender needs a binder by Friday.

Victoria answers in English or Spanish, collects the details your agency asks for, books a call with a licensed agent and sends claims where your rules say.

She never quotes a premium, binds coverage or says what a policy covers.

What gets in the way

Shoppers call more than one agency.Service calls crowd out sales.Claims calls come at night and on weekends.Only licensed people can talk coverage.

Shoppers call more than one agency

Someone shopping for insurance in the evening may call several agencies in a row. If yours goes to voicemail, the agency that picked up may be the one that gets the appointment.

Service calls crowd out sales

Add a car, send proof to a lender, change a mailing address: these calls are real work, and they land on the same producers who should be quoting new business.

Claims calls come at night and on weekends

Accidents and break-ins don't wait for business hours. A shaken client wants to know who to call right now, and each carrier has its own claims line.

Only licensed people can talk coverage

In California, anyone who solicits, negotiates or effects insurance has to hold a license (California Insurance Code section 1631), and other states have similar rules, so Victoria doesn't quote a premium, advise on coverage or bind it; your counsel sets the line for your state.

What we do about it

Quote requests taken, and called back fast.Claims calls go where your rules say.Policy service becomes a request, not phone tag.Spanish-speaking clients served in Spanish.

Quote requests taken, and called back fast

She asks the questions your agency writes for each line, such as vehicles and drivers, the property address, the current carrier and the renewal date, and books a call with a licensed agent.

She calls back leads who gave written consent on your quote form.

Calling a web lead with an AI voice needs their prior written consent, usually a consent line on your quote form, and your counsel confirms the wording.

Claims calls go where your rules say

After hours she gives the claims number you list for each carrier, or puts the call through to your on-call agent, by your rules.

If someone is hurt, she gives no advice and reads the wording you write, such as telling the caller to dial 911.

Policy service becomes a request, not phone tag

Add a vehicle, proof of insurance for a lender, a billing question: she takes the request with the policy details your team needs, and every call is logged in the CRM we set up for your agency.

She doesn't change policies or promise anything about coverage; your service team does.

Spanish-speaking clients served in Spanish

Victoria speaks English and Spanish and switches within a call when a client does. A client who's more comfortable in Spanish can give every detail of a quote request in Spanish.
