- Victoria:
Thanks for calling your salon, this is Victoria. How can I help?

- Caller:
Hi, do you have anything with Paola on Saturday for a cut and color? I've never been there before.
- Victoria:
Welcome! Paola has Saturday at 11:00. For new color clients the salon books a three-hour block, so you'd be done around 2. Does that work?

- Caller:
That works. Is there a cancellation fee?
- Victoria:
The salon asks for 24 hours' notice to cancel or move a color appointment. You'll get a reminder on Friday, and you can reply to it if your plans change.

- Caller:
Perfect.
- Victoria:
Can I get your name, and is this the best number for your confirmation text?

- Caller:
Mónica Herrera, and yes, it's my cell.
- Victoria:
You're booked, Mónica: Saturday at 11:00 with Paola, cut and color. Your confirmation is on its way.

Questions people ask
Don't see yours? Ask Victoria during the assessment, or call (805) 970-2936.
Do I pay per stylist?
No. Victoria is priced for the whole salon, not per stylist, and the free 2-minute assessment works out your price from your calls. If your booth renters keep their own books and numbers, mention it in the assessment so the setup fits how your salon really books. If you're not happy in the first 30 days, we refund your first monthly payment.
We already book through Vagaro, Square, Fresha or GlossGenius. What happens to that?
Keep it. Clients who like booking online can still do it, and Victoria can text a caller your booking link if they'd rather pick a time themselves. Phone bookings go into the hours you've held for her; block those hours in your app so online clients can't take them, and each phone booking reaches you in the summary to add. If you're on Square, she can book straight into it instead; we confirm the connection on the setup call. For Vagaro, Fresha or GlossGenius, a direct connection is a custom build we check on that call.
Can she take deposits for long services?
She doesn't take card numbers over the phone. If your booking app collects deposits, she can text the client your booking link so they book and pay the deposit there.
Does she answer when the salon is closed?
Yes, at any hour. A client whose at-home color turned orange the night before a wedding can call at 10 pm and get the first color-correction consult you've opened, and a bride asking about a trial for her bridesmaids gets her request into your summary right after the call.
More questions (4)Fewer questions
Can clients tell it's AI?
Victoria answers that question honestly whenever a client asks it: she's the salon's AI assistant. She just doesn't open the call with it. Long-time clients can still leave a message for their stylist, like a color that faded too fast, and it's in your summary right after the call.
Does she speak Spanish?
Yes. A client can explain in Spanish exactly what they want, like 'un retoque de raíz y matizar las puntas' (a root touch-up and toning the ends), and it goes into the booking notes for the stylist.
Will clients have to call a different number?
No. Clients keep dialing the salon number they've always used, and booth renters who book on their own phones keep theirs. On the setup call we set up how the salon line forwards to Victoria, including whether she takes every call or only the ones the front desk misses while ringing someone up. Hang-ups mid-ring get the text you approved at setup, with your booking link if you like, from a registered local business number once carriers approve it, which takes from about a week to two or three weeks (Twilio). Answering calls doesn't wait for texting.
Who sets it up, and what do you need from me?
Nathaniel Ross, the founder, runs your setup call himself. He's based in Santa Barbara, and he'll go through each stylist's days and services, how long each service takes, the hours you want to hold for phone bookings, the starting prices you're happy to share, your deposit and cancellation policies, and the number urgent calls should ring, such as a client reporting a burning scalp after color or a reaction to lash adhesive. Victoria gives no advice on those: she rings that number or reads the wording you wrote.
The details
In short
A stylist halfway through a balayage can't pick up the phone, and a caller who wants Saturday may not leave a voicemail; some message the next salon on Instagram instead.
Victoria answers in English or Spanish and books into the hours you've held for phone bookings.
What gets in the way
Color runs on a timer.A missed appointment can't be made up.Regulars drift away quietly.'How much is it?' never has a short answer.
Color runs on a timer
Once lightener is on, the stylist is watching the clock, not the phone, and a front desk that's shampooing or checking someone out can't pick up either.
The Saturday blowout request that comes in then has nowhere to land.
A missed appointment can't be made up
An empty chair at 2 pm can't be filled at 4. When a client forgets a 90-minute color appointment, a big piece of the stylist's day is gone.
Regulars drift away quietly
A client who came in every six weeks for a root touch-up stops coming, and it can take months to notice, because nobody is watching the gaps between visits.
'How much is it?' never has a short answer
Balayage, extensions and color corrections depend on hair length, history and time in the chair, so the price call drags on or ends with 'it depends' and no booking.
What we do about it
Phone hours held on each stylist's book.Your cancellation policy, said before the long services.Starting prices, said out loud.Texts that bring past clients back, and review requests.
Phone hours held on each stylist's book
You choose which hours on each stylist's book Victoria can fill by phone, and she matches the service to the time it takes, so a two-hour color goes into a two-hour opening.
The client gets a text confirmation, and the booking reaches you in the summary with the client's notes.
Your cancellation policy, said before the long services
When Victoria books a color correction, extensions or a bridal trial, she tells the client your cancellation policy before confirming.
The reminder before the visit lets them confirm or move it by replying; a moved appointment frees that block in the stylist's phone hours, and Victoria can book the next caller into it.
Starting prices, said out loud
Give us the starting price for each service and which ones need a consult first, like color corrections and extensions.
Victoria quotes the starting prices you've given her and books a consult for anything you've marked consult-first, so the stylist sees the hair before anyone names a final price.
Texts that bring past clients back, and review requests
After each visit, Victoria can text the client a review request while the cut is still fresh.
With win-back texts, the salon also invites past clients back, for example to say you now do lash extensions.
